The problem
A surveyor-led insurance reinstatement firm working across London and the South West was running jobs the way most surveying businesses do: WhatsApp threads, email chains, paper RAMS, and photo folders scattered across half a dozen phones. Getting quotes meant ringing contractors one at a time. Compliance rules like “no RAMS, no work; no photos, no payment” existed on paper, but nothing enforced them. And when an insurer questioned a claim months later, assembling the evidence trail was archaeology.
What I built
I built them a single operations platform that owns the whole job lifecycle. The decision that shaped everything else was making compliance a property of the software rather than a rule the admin has to chase: a visit cannot progress past RAMS without RAMS, and cannot complete without photos. Surveyors create jobs with the claim essentials; clients and contractors exist as full profiles with trades, coverage areas and accreditation documents. The moment a job is ready, matching contractors get the job link by WhatsApp and email simultaneously through Brevo and can quote from their phone. Each scheduled visit gets a unique link with a six-step on-site form that saves as you go — close it mid-job, reopen it two days later, and everything is where it was left — then locks read-only on completion as a tamper-proof record. An incident module with escalation logic and RIDDOR screening covers the days when things go wrong.
The outcome
Quoting now starts the minute a job is created, with notifications landing for every role at once. Compliance is enforced by the system instead of chased by a person, and every job carries its own complete evidence trail for insurers and disputes. Because it runs on Supabase with no per-seat pricing, the firm can grow its job volume and headcount without the software bill growing with it. It is the system the business runs on daily.

How a job flows

Survey & job creation
The surveyor logs the job with claim reference, property, client, priority, and job type. This becomes the master record everything else attaches to.

Instant quote requests
Approved contractors matching the trade receive the job link by WhatsApp and email at the same moment. No ring-arounds, no waiting.

Quote & client approval
Contractors submit quotes from the link; the client reviews and accepts in the system, with every decision recorded against the job.

Scheduled visit link
On confirmation the contractor gets a unique visit link with scope, address, access notes, and the six-step form in one mobile-first page.

On-site execution
RAMS before work starts, photos before, during, and after, then customer sign-off at the end. Everything saves step by step, stays resumable across days, and locks when complete.

The completed record lands with the admin for review, with compliance evidence, photos, and sign-off attached to the job permanently.
